Ken Hotel owns 35 accommodation facilities both in Japan and overseas, including their house brands including "Premier hotel", "CABIN" and "SANRAKU". Each facility has their own promotional materials and introductions, it was a challenge for the headquarter to manage all the data well. But with CIERTO, they can centrally manage all the files even in different format, and also share and review the data instantly. all the facilities regardless in Japan or overseas, they can access the platform smoothly, it reduced the workload of data sharing for the headquarter.

Image Format Conversion and Time Reduction
Each travel agency or business partner has their own requirements on data format. On CIERTO, user can directly use the image conversion function to export the data in different formats. They can simply export all data format they want in a short time without using other applications. It reduced the time of media distribution, and also responsible for any change of the upload requirements.

Information Integration and Workload Reduction
Ken Hotel has released a portal site for publishing the information for all 35 hotels around the world. The guest function of CIERTO helps them to collect the image or video data of each facility, and puts these files/folders into a single access point. Moreover, the portal site of Ken Hotel is integrating with CIERTO. Once information registered on CIERTO is renewed, data on the portal site will be renewed too. Workload for information renewal of Ken Hotel has a great reduction.

CIERTO eliminated our cost for data management and sharing.
In the past, each hotel managed their own images separately, it was a big trouble in content management, especially when the files are large and hard to store. It was also chaotic when the group hotels have to share the files with the headquarter. However, everything has changed after implementing CIERTO, a great central data management system. Not only for internal, it is also effortless when sharing data to the external stakeholders, it really reduced our workload. I am sure we will continue to use CIERTO, and try the functions such as metadata management.

Access Permission and Approval Time Reduction
We are managing all the images and documents for all 35 hotels on CIERTO centrally. By concerning the security problem, we divided data in "Public" and "Internal" 2 hierarchies. Users do not need to wait for the approval if they want to have the data in "Public"*, it reduced the working time for both admin and users. On the other hand, we stored raw/unprocessed data or past data in "Internal", the company members can get raw data from here smoothly.
*There are folders for each facility in "Public" hierarchy. -
Guest Link and Collection: effective External File Share System
Sometimes travel agencies and the publishers may ask us to provide them media materials. We are now sharing vast data sets or even DVD contents via "Guest Link" of CIERTO , instead of other online storage services. In addition, we are also using the "Collection (categorization)" function of CIERTO, collecting contents across different folders for one facility and putting them in single collection. Usually materials that are put in collections are frequently used, so we can access these data by just clicking into the collection, which is really handy. Moreover, you can also share a collection to external stakeholders though Guest Link, CIERTO gave us a convenient data sharing system and improved our workflow.

More about Guest Link: Time Reduction for Data Renewal
As I have mentioned, we have created a "public" hierarchy and stored public access data for each facility in it. We will directly send the folders through Guest Link to the travel agencies. Any changes (delete/add new assets) on CIERTO will be automatically shown in the created link, so we don't need to renew all the links while there is conversion. It saved our time, and we do not need to renew all the materials that are shared to the agencies every time.

Publish Contents based on the needs of customers
We owned facilities from small scale hot spring inns, to large scale hotels with banquet hall which can hold exhibitions and events. Besides the travel agencies, sometimes the organizier of an event may need promotional materials too. In this case, we will simply register data like images of the banquet hall or sample dishes on CIERTO and share them to the organizer. Usually we choose photos which related to the requests of the customers or the nature of the events. We can share the relevant images through CIERTO smoothly, and the number of inquiries is actually increasing.
