【Challenge】
Difficult to know the progress of production
The whole production process was in black box nature, each steps of the catalog production are done by the representative separately without proper communication. Ultimately it creates a great constraints to catalog production as no one really knows the progress.

Turned the black box into a white box
The implementation of CIERTO provides a whole record of working progress, it is much clearer that all the project members can track the working progress. It is also more secured that the admin user can have a detailed assets access control to avoid outsider to preview or download the data.

Redundant Image Sharing Process
The rule of TOTO is that the sales team could only use images for promotional purposes after the catalog was completed. Thus, when the design team had to deal with tremendous amount of image usage requests by the sales team if there is necessity for pre-promotion. The email communication was inefficient and the promotional activities always got delay.
【Solutions and Outcomes】
Efficient Image Sharing
By using CIERTO, the sales team can directly find the finished pictures for pre-promotion on the platform without email communication with the design team. And the external parties can also use guest link to access the data in a secure environment. The whole image sharing process became much smoother.

【Challenge】
No unified communication and workflow confirmation system
The manager of the catalog used to use different ways to confirm the working progress to each step representatives. It was a big burden to the manager.
【Solutions and Outcomes】
Workflow Improved by using customized DAM system
We used customized version of CIERTO whcih all the communications turned into email-based. Whenever there is approval or requirement, the representatives can receive an email, and the manager can also check the email after the representatives finished the request. It greatly reduced the workload of the catalog manager and the total time of work for 700 hours.

CIERTO has rich functionalities and is easy to have customization
Catalog is the main promotional tool of TOTO. However, the catalog production process was complicated and problematic. To improve the operation flow, we used to launch a project to develop a DAM system by ourselves, but we cancelled the plan later on as the development fee and time cost is too high. And for the DAM systems in the market, most of them do not support customization, so we really confused as neither we can develop a new system nor find a suitable DAM solution. But we found CIERTO, a DAM system equipped functions all we need and available for customized development. Now CIERTO is our essential tool to manage the data and workflow.

Preview and Image Sharing
Regardless of the file format including general image data or Photoshop data, we can preview them on CIERTO platform. All the internal and external project stakeholders can access and share the data easily based on the access permissions. It is a strong tool for us to reduce the redundant workloads.

Improve the Approval Workflow
Previously, the design team had to reply over 100 emails from the image usage request by the sales team and external production company. But for now, all the members can access CIEROT to get the image without sending emails to the design team. Even if some cases the image cannot be disclosed openly, the designer can use download application flow of CIERTO to accept or deny the requests by one-click.

Simple Image Conversion Benefits the Sales Promotion
The image conversion function on CIERTO can change the image size and format directly on the platform. It is a convenient function for us that we convert the image format and send the assets to our external partners via Guest Link of CIERTO. The promotional activities go smoother as we can create different image formats from a single source, and distribute it to all of our platforms and materials.

Data Search via Metadata
We register the metadata value for all of our assets on CIERTO. As the search function of CIERTO is also support metadata, the sales team can easily figure out the data they need through metadata search and provide them to the customers promptly.
